I have received a total of 7 responses, which represents 78% of the board.
There was no day, time, number of sessions or length of sessions that
acceptable to more than two members of the board. Thus, I'm suggesting the
best compromise based on the data given to me. If there is interest, I can
post the spreadsheet with all the information to the list.
I believe we currently have 9 board members. As such, 5 votes on any motion
will consist of a simple majority, and cause the motion to carry (Laura,
check me on this please).
Here are my conclusions (and movements resulting from them). Data is below.
1.) I move that we schedule two strategic planning sessions, one for a
Tuesday evening, to run from 6:00 pm to 9:00 pm, and one on a Saturday
morning, to run from 9:00am until noon. These sessions should take place in
the same week. I need a second and a virtual vote on this motion.
2.) I move that, should the above motion carry, the sessions be scheduled
for the week of October 16-22. The first session will be Tuesday, October 17
from 6:00pm to 9:00pm and the second on Saturday, October 21 from 9:00am to
12:00pm. I also need a second and a virtual vote on this motion.
Charlotte: Should these motions be accepted, we'll need to get in touch with
Jericho Road.
We're all busy people, finding a common time to get together is very
challenging. Based on my responses, 78% of the board should be able to
attend at least one of these sessions. In my opinion getting together for
this purpose is long overdue, and critical to the future of the CSL. As
such, I would ask every board member to attend as much of the scheduled
sessions as possible, even if the times are inconvenient - there is no way
to have these meetings at a time that's convenient for all, so I think this
is the best we're going to do. Additionally, it is my hope that at least one
member of the board can attend both sessions, and provide a summary of the
first to those who attend the second. As a young organization, the CSL needs
more input and dedication from its board than most.
The data:
The primary considerations for the upcoming strategic planning session
(which will happen!) are: When, # of Sessions, and length of sessions.
Disregarding scheduling for the moment, here are the responses.
# of Sessions: 2 votes for one session, 1 vote for two sessions, and 4 votes
for 1 or 2 sessions
# of hours/length of sessions: This one is a little more tricky, as total
hours is tied for some into how many sessions. Ignoring that for the moment
and considering only total hours, there were 2 votes for a <=4 hours, and 3
votes >= 6 hours, and one person did not comment
The general consensus among those who responded is that sessions should be
about 3 hours long, regardless of the number.
Scheduling: This is the most complicated issue - it looks like there is no
single time that everyone who responded could attend.
